1. Create and send a simple invoice.

Creating and sending an invoice with Albert can be done in under thirty seconds. 

  • Tap the + button.
  • Add an amount.
  • Toggle the VAT switch to add VAT to your invoice.
  • Add a description or quick note.
  • Add the name of your client, which can be a person or a business.
  • Add the email address of the client.
  • Hit send to send your invoice.

Albert will generate a PDF for your invoice, attach it to the email sent to your client, and store it in your Dropbox for the current month.


2. Add more details to your invoice.

It's very easy to create itemised invoices with details, such as separate services, materials and labour hours.

  • On the new invoice screen, tap amount and then tap the '+ add items' button.
  • On the next screen, add the details for your first item:
    • Add your item description.
    • Add an amount for your item.
    • Increase the number of units if needed (e.g. for number of hours)
    • Deselect the VAT toggle, if no VAT rate should be added.
  • Tap 'ADD ANOTHER ITEM' if you would like to add more items and repeat the previous steps.

3. Add business, VAT, and bank account info to the invoices.

This info can be added in two places to make it easier for you depending on where you are in the app:

  1. It can be added from the settings screen, which is accessed from the top-left icon on the main screen.
  2. Or, it can also be added directly from the new invoice screen, through the more option on the bottom right.

4. Mark your invoice as paid.

You can simply swipe an invoice to the right, to mark it as being paid. It will be automatically re-organised in your Dropbox as well.


5. Add your logo.

Your logo can be added in two places to make it easier for you depending on where you are in the app:

  • The logo can be added in the settings screen menu, which is accessed from the top-left icon on the main screen, or directly from the new invoice screen.
  • Tap the '+ logo' icon in the top area of your screen.
  • Then you can choose to Take a new Photo or Select an existing Photo.

Your logo will be added to all your new invoices.


6. Re-use customer data / Duplicate an existing invoice with one tap.

Re-using an existing invoice is as easy as one tap.

  • Tap the more icon at the bottom of a sent invoice (unpaid or paid).
  • Tap Duplicate.

A new invoice screen appears with all data copied into the new invoice. The date and invoice number are automatically updated.


7. Use an email address from your phone's address book.

Instead of typing the email address of the recipient of the invoice manually, you can also look it up in your phone's address book. The list will automatically show only the contacts that actually have an email address, making searching easier.

  • On the new invoice screen, tap add recipient's email.

  • Then tap the + icon on the right hand side.
  • Than start typing the name or email address you are looking for.
  • When you have found the right contact, tap the contact and it will bring you back to the invoice screen and pre-fill the email address.

8. Change invoice numbering.

  • On the new invoice screen, tap the invoice number in the left bottom corner.

  • On the new screen, tap the invoice number with a # symbol.

  • You can change the number part and the label part, allowing any invoice number combination you like.

  • You will be provided with hints and guidance about which numbers are available and upcoming for next invoices. It will also automatically increment the numbers in your sequence so you don't have to worry what is the next number.


9. Personalise and preview your invoices.

  • On the new invoice screen, tap the more symbol at the right bottom corner.

  • Change comments by tapping on Comments. On the new screen you can add anything from thank you note, to your terms, social media links, or a specific note.

  • Preview the invoice by tapping Preview. You will see the invoice that will be send as the attachment to the email and will be stored as PDF. You can zoom in and zoom out like you do on Google Maps.


10. Add PayPal, IBAN and SWIFT info.

  • On the new invoice screen, tap the more symbol at the right bottom corner.

  • Change payment info by tapping on Payment info. On the new screen you can add extra info as Paypal email address, IBAN and SWIFT.

  • Preview the invoice by tapping Preview. You will see the invoice that will be send as the attachment to the email and will be stored as PDF. Your client can pay you straight away just tapping the Paypal button.
